Existing and potential customers of Adena Travels Oy who have requested a quote, purchased our products and services, or provided their contact information via a contact form.
Basis and Purpose of Processing Personal Data
The basis for processing personal data is the customer relationship between Adena Travels Oy and the customer, the customer’s assignment, the customer’s consent, or the execution of a contract.
The purpose of using the personal data is to manage customer relationships and assignments, deliver services to customers, fulfill contractual obligations, perform actions related to services, customer communication, and electronic and direct marketing.
Stored Personal Data
The data processed includes:
- Identification Information: Name and date of birth
- Contact Information: Address, email address, phone number, and other possible contact details
- Information about services and products ordered by the customer and their delivery and billing
- Information affecting the services and their delivery
Regular Data Sources
The information stored in the registry is obtained from the customer through messages sent via web forms, email, phone, social media services, contracts, customer meetings, and other situations where the customer provides their information.
Information about contact persons of companies and other organizations can also be collected from public sources such as websites, directory services, and other companies.
Disclosure of Personal Data
Personal data is disclosed to parties and partners necessary for booking and implementing the trip, as well as for the implementation of other possible services or assignments.
The principles of the applicable data protection legislation are applied in the processing of data. Personal data is disclosed only according to the contract, the customer’s separate consent, and/or specific regulations.
Transfer of Personal Data Outside the EU or EEA
To achieve the aforementioned purposes, data is also disclosed outside the EU or EEA, but the data is processed in accordance with the principles of the applicable data protection legislation.
Retention Period of Personal Data
Data is retained in the registry according to the retention periods prescribed by law and to fulfill other obligations.
In billing and similar systems, personal data is retained for ten years after the end of the financial year as required by the Accounting Act.
Personal data that has not been renewed or activated for 10 years is deleted from the customer registry.
Protection of Personal Data
Care is taken in the processing of personal data, and data processed via information systems is appropriately protected. The physical and digital security of devices containing databases is appropriately managed. Only employees who have the right to process customer data as part of their job are entitled to use the electronic system containing personal data. Each user has their own username and password for the system.
If personal data is in paper form, it is retained only for the time necessary for processing and stored in a locked space.
Automated Decision-Making and Profiling
We do not use data for automated decision-making or profiling.
Rights of the Data Subject
As a data subject, you have the right to inspect the personal data stored about you in the registry and to request the correction or deletion of incorrect data. You also have the right to withdraw your consent.
As a data subject, you have the right under the Data Protection Regulation to object to or request the restriction of the processing of your data and to lodge a complaint with the supervisory authority regarding the processing of personal data.
You can submit all requests and demands under this section either in person or in writing to the contact person mentioned in the Contact Person section of this statement.
Analytics and Visitor Tracking
We collect anonymized information about the use of the website, such as visitor numbers and popular pages. This information is completely anonymous and cannot be used to identify individual users. We do not share or transfer this information to third parties.
Cookies
We use functional cookies on the website to enhance the user experience. These include, for example, a language selection cookie that allows the site to remember the user’s chosen language. We do not use third-party cookies, nor do we track individual users’ movements outside the website. Videos displayed on the site have their viewing data (such as view counts) stored in Vimeo’s analytics.
